Our Project Management War Room

Technology isn't the panacea for everything. It's not even a panacea for all of our project management needs.

Recently, I was visiting a customer. As usual, I started by discussing with their VP of professional services how they use our software for cost tracking, billing and project management. But what he showed me next was truly an eye opener -- he took me to his "War Room." A traditional conference room had been transformed into the "battle bridge." Whiteboards covered every wall. A couple of flip charts were placed at each corner with all kinds of "action item," diagrams, and notes scribbled on them. In the center part of the room, a projector was connected to a computer running Tenrox software, displaying reports of live project financial data. This was the only "hi-tech" aspect of the war room!

Preparing like champions

Recently, we had a demo session for a potential client. The demonstration was lackluster to say the least. The reason for the poor showing was not a miss-match, though. Rather, the problem was human in nature -- a simple lack of preparation.

Last Wednesday, I sent all Tenrox employees an e-mail on the importance of this often overlooked but critical task.

1) HOW TO Change or re-map the Tenrox Project Plan to the correct Tenrox Project:

Have you ever accidently mapped the Tenrox Project Plan (TPP file) to the wrong Tenrox Project?

If so, you will not be able to change the 'Map to Tenrox Project' field from the Project Information screen.

To re-map you must save the TPP plan again.

These are the steps to re-mapping:

1. Log off from the Tenrox Enterprise software
2. Open the ‘Tenrox Project Plan.tpp’
3. Select File>Save as…
4. Fill in a Name and code.
5. Select “Map to” and choose the correct project then click “OK”
6. You should now be able to synchronize the Project Plan

2) HOW TO map a Purchase Order to an Expense Report:

1. Go to Setup > Purchase > System
2. Set the Mapping field to 'Expense' then click ‘Save’
3. Go to Setup > Purchase > Purchase Workflows
4. Edit the Purchasing Workflow Map for which you wish to set up this up
5. Click on the 'Setup' link
6. Set the 'Expense Report Integration' field to the 'Expense Workflow' that will be used for the mapping then click ‘Save’
7. Edit the state from which you want to enable the mapping to the Expense Report by double-clicking on it
8. Check the option "Create corresponding Expense Report or Charge entries" then click ‘Save’
9. Go to Entries > Purchase, click 'New' to create a Purchase Order
10. Click on the Purchase Order number once created
11. Click 'New' to create a Purchase Entry > Fill out the required fields and click 'Save'
12. Push the Purchase Order to the state that was previously set for the Expense Report mapping

To validate that the Expense Report was created, go to Entries > Expense Report and search by 'Title' and enter the one that was used for the Purchase Order; they will be the same.
